Before you start: advance notification and learning agreement
Are you not only interested, but already nominated for a semester abroad at a host university and want to apply for an advance notification and have the Learning Agreement approved? Even if it still feels like a long time before the semester abroad really gets underway: time flies - so get started as soon as possible so that you can cross the advance notification and Learning Agreement off your to-do list! And as far as we're concerned: the principle of 'first come, first served' applies... Please bear in mind that it can take a few weeks to process advance decisions!
The process at a glance
The application for advance notification must be created in UNIGRAZonline and then submitted by e-mail with all the necessary documents. You will therefore need information and supporting documents from the host university in order to create the application.
For Erasmus+ stays from the winter semester 2023/24 onwards, the Learning Agreement must be generated directly in Mobility online after approval of the advance notification. This means that you no longer need to send a separate form! If the Learning Agreement must be approved for your host university in the form of a separate form, please fill out the form carefully and completely and inform us of this by e-mail when submitting the documents. In this case, the Learning Agreement can only be approved together with the advance notification.
Academic work: Work on academic papers does not have to be included in the advance notification. However, it is a prerequisite that the supervisor and topic of the academic paper have already been officially approved and are visible in UNIGRAZonline.
Required documents
- Recognition print list from UNIGRAZonline (= application as PDF)
- ECTS certificate for each course for which recognition is requested (even if only the recognition of a free elective subject is requested).
- Official, authentic descriptions of the contents of each course for which recognition is requested (only not required if the course in question is to be recognized exclusively as a free elective). Please always provide the entire description (saved as a PDF) and as you found it in the course catalog of the host university, for example!
- Sometimes further documents may be required, e.g. if no ECTS but other credits are shown in the documents.
Please take a look at all the information in detail here. The better prepared your documents are, the faster they can usually be processed.
Special case of academic papers: No advance notification including the above-mentioned documents, but a separate form confirmed by the supervisor in the thesis (if you have any questions about the form, please contact the International Relations Office first) - Attention: The topic and supervisor of the academic thesis must already be officially approved and appear in UNIGRAZonline!
Instructions and tips for preparing applications
European law exam? Examination in international law? 3rd section? How does that work? In short: It all depends on the courses you can attend at the host university. Therefore: Obtain all the information in good time (see also "Required documents") so that you can prepare an application for advance notification and submit the Learning Agreement.
As a general rule, equivalent credits must be available for recognition. So that you know which credits you "need" and can use in your application, you should be familiar with the curriculum and the courses offered at the host university and have the documents for the advance notification.

Changes during the stay
Course canceled, date postponed, ... found another interesting course? If there are changes to your Learning Agreement / advance notification during your stay, there's no need to panic! We have compiled all the necessary information for you here.
In principle, everything works in exactly the same way (application, required documents, submission) as for the advance notification before the stay. Only the new courses (or courses for which something has subsequently changed) must be included in the new, further advance notification.
For stays from the winter semester 2023/24 onwards, the Learning Agreement can only be generated electronically in Mobility Online once the advance notification has been approved. Details on the electronic Learning Agreement can be obtained primarily from the International Relations Office. If your host university requires a separate form, please fill it out carefully and completely and let us know!
1. changes to the Learning Agreement
Please clarify any changes to courses and the Learning Agreement with your host university first. If you have any problems or uncertainties in connection with the Learning Agreement, please contact the International Relations Office (BIB).
For stays from the winter semester 2023/24 onwards, the Learning Agreement can only be generated electronically in Mobility Online after approval of the advance notification. Details on the electronic Learning Agreement can be obtained primarily from the International Relations Office.
Only if courses have been deleted without replacement (only "deleted components"), no further advance notification must be applied for, but clarifications must be made with the host university and the International Relations Office.
2. new advance notice
Advance decisions that have already been approved remain valid. Only those courses that have changed are to be included in a new, further advance notification. E contrario: Courses for which nothing has changed are not to be included again in the application for advance notification .The application must be created in UNIGRAZonline in the same way as before the semester abroad and then submitted by e-mail together with the required documents (same procedure), see the detailed information on the advance notification before the stay.
Changes for which a further advance notification must be applied for can be, for example
- Additional, new course (e.g. if one course has been replaced by another), the recognition of which has not yet been approved in an advance notification.
- Subsequent reduction of the ECTS credits of a course whose recognition has already been approved in an advance notification.
- Subsequent change to the title of a course whose recognition has already been approved in an advance decision.
- A course that was recognized together with other courses as a "package" in an advance decision for a (subject) examination cannot be completed after all, has fewer ECTS credits or changes to the title.
3. application and required documents
Changes to the Learning Agreement must first be clarified with the host university. If you have any questions, please contact the International Relations Office.
For new/changed courses (see above), an advance notification with the required documents (authentic ECTS certificates, content descriptions, ...) must be submitted by e-mail. Further details and information on how to apply can be found here.
After the stay: Recognition
Your semester abroad has flown by and you've gained a lot of experience, but you're still missing the letter of recognition?
Once you have received the official, final and complete Transcript of Records (ToR) from the host university, you must create an application for recognition in UNIGRAZonline and submit it by e-mail together with the ToR and any other required documents. Please remember that the processing of recognition applications can take several weeks!
Grade conversion
The conversion of external assessments into the Austrian grading system must always be carried out by you and supported by suitable evidence.
Please obtain - preferably during your stay abroad - conclusive and suitable information that enables and proves the conversion of the grades awarded by the university abroad into the Austrian grading system or ECTS grades (A - F).In most cases, such information can be found on the back of transcripts or on the homepage of the university abroad anyway. This information must be enclosed with the application and is subject to the assessment of evidence by the 2nd Vice Dean of Studies. If you are unsure, please feel free to contact us.
